Before You Start: Prerequisites Checklist

Make sure you have everything ready before creating your first check:

  • Activate TrustID Account - If you haven't signed up yet, visit Contact TrustID the identity document validation experts

  • Credits purchased - You need at least 1 credit

  • Applicant's email address - Double-check for typos! This is where their upload link goes

  • Confirmed eligible documents - If you are unsure please view our document guidance

Step-by-Step Walkthrough

Step 1: Log In to Your Dashboard (30 seconds)

  1. Please go to [email protected] or [email protected] — your setup email will confirm which address you should use.

  2. Enter your email address and password

  3. Click "Log In" to sign in

You'll land on your main dashboard where you can see all your checks, credit balance, and account details.

💡 Pro tip: Bookmark your dashboard URL for faster access next time.

Step 2: Create New Check (1 minute)

  1. Look for the blue "New Check" button at the top right of your dashboard

  2. Click and select "Create GuestLink"

  3. The GuestLink form will open

Step 3: Enter Applicant Details (2 minutes)

This is the most important step - accuracy here prevents delays later.

Required Field: Full Name

Required Field: Email Address

  • This is where the upload invitation will be sent

  • Double-check for typos - this is the most common mistake!

  • The applicant will receive their link in a couple of minutes

  • They'll get an email from [email protected]

Step 4: Choose Check Type (30 seconds)

Select what branch you need the link sent from.

Step 5: Review and Send Invitation (30 seconds)

Before clicking send, take a moment to review:

  1. Double-check the email address - Is it spelled correctly?

  2. Verify the name - Is this correct?

  3. Confirm the branch selected - Did you select the right options?

When everything looks good:

  1. Click the blue "Continue" button

  2. You'll see a confirmation message: "Invitation sent successfully!"

  3. The check immediately appears in your dashboard

  4. Your applicant receives the email within 30 seconds

What Happens Immediately After Sending

In Your Dashboard:

  • ✅ New check appears in "GuestLink tab

  • ✅ You can see the date sent, applicant name

For Your Applicant:

  • ✅ Email arrives from [email protected] within a couple of minutes

  • ✅ Subject line: "[Your Organisation Name] has requested you to upload your identity documents"

  • ✅ Email contains their unique upload link (valid for 14 days)

  • ✅ Clear instructions on how to complete the upload

What Happens When Applicant Uploads

You'll see these status changes in your dashboard:

  1. GuestLink email removed – The link is single-use, so it will not be visible in the GuestLink tab within the portal.

  2. “Pending” – We’re currently verifying their identity.

  3. “All Checks/My Checks” updated – Verification is complete and the results are now available to view.

All status updates happen in real-time. Just refresh your dashboard page to see the latest update.

What Happens When Verification Complete

  • ✅ You receive an email notification

  • ✅ Full report available in your dashboard

  • ✅ You can download the PDF report

  • ✅ You can proceed with your hiring or tenancy decision

Tips for Success

  • Communicate clearly with applicants about what to expect

  • Check your credit balance before starting any batch of invitations

  • Download reports within 7 days - they're automatically deleted after that for security
